發(fā)英文郵件的格式
英文電子郵件的基本要素是主題、稱謂、正文、結(jié)尾用語(yǔ)及署名。
電子郵件最重要的部分是主題,假設(shè)我們都是很忙的人,在打開(kāi)郵箱閱讀郵件時(shí),第一眼看到的就是郵件的主題。所以,主題應(yīng)當(dāng)做到言簡(jiǎn)意賅并突出郵件重要性。英文郵件的主題需要注意不超過(guò)35個(gè)字母,將位于句首的單詞和專有名詞首字母大寫(xiě)。比如:Some questions about C++.在比較正式的格式中,需要把每個(gè)單詞的首字母大寫(xiě)(介詞、冠詞除外)。
稱謂如果是第一次給對(duì)方寫(xiě)信,那么稱謂最好用“Dear+全名”,這樣會(huì)讓人感覺(jué)比較正式。如果對(duì)方以非正式口吻來(lái)信,我們也可以類似非正式地回復(fù)。比如:“Hello/Hi Lillian”。在實(shí)際通信中可能遇到不知道對(duì)方姓名,可以用“Dear+對(duì)方頭銜”,如“Dear President”,或者“Dear+Sir/Madam”形式。英國(guó)人習(xí)慣在稱呼后加“,”,美國(guó)人習(xí)慣在稱謂后加“:”,有時(shí)也可以不加任何標(biāo)點(diǎn),是具體情況而定。
在書(shū)寫(xiě)正文時(shí),把最重要的事情寫(xiě)在正文最前面或者郵件內(nèi)容較長(zhǎng)時(shí)寫(xiě)在第一段。為了讓收件人閱讀郵件比較舒服,我們需要注意郵件正文結(jié)構(gòu)的美感,郵件段落最好控制在兩三段之內(nèi)。如果一封電子郵件涉及多個(gè)信息點(diǎn),我們可以采用分條目的方法,如符號(hào)、小標(biāo)題、編號(hào)來(lái)使得郵件想要表達(dá)的內(nèi)容層次清晰。郵件內(nèi)容應(yīng)注意單詞的拼寫(xiě)、大小寫(xiě)、標(biāo)點(diǎn)、語(yǔ)法等。所謂以小見(jiàn)大。
結(jié)尾語(yǔ)在正文之后添加。注意一般結(jié)尾語(yǔ)中只有第一個(gè)單詞首字母大寫(xiě)而剩余單詞都小寫(xiě),此處與稱呼不同。

在正文最后需要署名,可以寫(xiě)全名,也可以只寫(xiě)名字。需要辨明性別時(shí)可以在姓名后面注明(Mr./Ms.)。對(duì)于咱們中國(guó)人,為了區(qū)分姓和名,可以把我們的姓的字母全部大寫(xiě),例如XIONG Lillian.如果寫(xiě)信人代表的是一個(gè)組織或部門(mén),應(yīng)在名字下一行寫(xiě)上自己的職位、所屬部門(mén)。

一、主題
主題(Subject)框的內(nèi)容應(yīng)簡(jiǎn)明地概括信的內(nèi)容,短的可以是一個(gè)單詞,如greetings;長(zhǎng)的可以是一個(gè)名詞性短語(yǔ),也可以是完整句,但長(zhǎng)度一般不超過(guò)35個(gè)字母。

二、稱呼
1、E-mail一般使用非正式的文體,因此正文(Body)前的稱呼(Salutation)通常無(wú)須使用諸如Dear Mr. John之類的表達(dá)。在同輩的親朋好友或同事間可以直呼其名,但對(duì)長(zhǎng)輩或上級(jí)最好使用頭銜加上姓。YES:Tommy,或者M(jìn)r. Smith。
2、稱呼和正文之間,段落之間,正文和信尾客套話之間一般空一行,開(kāi)頭無(wú)須空格。如: Jimmy,

4、多過(guò)一個(gè)男人,用Messrs,就是Misters的意思,不過(guò)不要跟名字,跟姓就行啦.

6、職銜短可以一行過(guò),長(zhǎng)就下一行吧.例如:

7、老外的名字有時(shí)有Jr. 或 Sr.,之前的逗點(diǎn)是隨你喜歡的,以下都是正確,不要笑人:

Sinopec will reimburse you for these legal expenses. 如果單純說(shuō)你自己,可以用: I found the brochure very informative. 有時(shí)可以一起用啦...: We are pleased to offer you the position of sales director, and I am looking forward to our Tuesday morning meeting.
那么I和you呢?好煩好煩.一般來(lái)說(shuō),收信人的利益比較重要,名義上都要這樣想.給人尊重的語(yǔ)氣就一般不會(huì)錯(cuò)了. 多用you有時(shí)會(huì)有隔閡的感覺(jué).

B、信尾客套話(Complimentary close)通常也很簡(jiǎn)明。常常只須一個(gè)詞,如:'Thanks','Best','Cheers',不需要用一般信函中的'Sincerely yours'或'Best regards'。
C、簽名:不要把Mr., Ms., Mrs., Dr.之類一起簽,人家會(huì)笑你的... 簽名也看信件的語(yǔ)氣.給朋友或公司客戶,簽Bill也可以,給陌生人就最好用Gates或者Bill Gates啦.
